Holiday Hideaway Association Board Meeting Minutes 20080113

January 13, 2008

The board met in the Guemes Community Center Library at 11 am on Sunday, January 13. present were directors Sharon Schlittenhard, Dave McKibben, Hal Forsey, Anne Casperson, Mike Jackets, Laura Saunders. Commons Committee members Roz Glasser and Bob Anderson were also there.

Issue brought to board about parking and road visibility. The Board discussed the issue raised by two residents of the Hideaway regarding parking and visibility. The road in question is a private road, and the parking in question is on the landowner’s property, after extensive discussion the consensus of the Board was that we had no grounds for action, and would urge the individuals to settle the dispute among themselves.

Water company --- we reviewed the material for the water company report, and agreed we would draft a report from the Board to be included.

Insurance coverage --- we reviewed our officers and directors insurance and received copies of the policy.

Annual meeting --- April 19th was selected (third Saturday in April) at 2:15. Potential agenda items include nature and responsibility of the board for private roads water company report annual picnic maintenance on cook’s cove, report and plans for 2008-09

Treasurer’s report

Dues – agreed that the dues would revert to $10/lot and the 2007-08 reduction would not be extended

Commons committee report

Board work plan for coming year including review of Articles and bylaws

Election of new board members

Commons committee report --- Roz Glasser and Bob Anderson reported on the work of the consultant with respect to view clearing. The Committee was authorized by a vote of the Board (Forsey moved, Casperson seconded) to spend up to $1000 for a legal review of the Board’s authority over the managment of view clearing on commons property in light of the current articles of incorporation, bylaws and covenants and restrictions.

Current Treasurers report, estimated revenue and expenses were reviewed, and it was agreed (as noted above) that the dues reduction would not be extended.

There was general discussion about the impact of construction on drainage in the hideaway and its potential to affect the wells and water system. It was agreed that the president would write a letter to the Health Department calling attention to this potential.

Next Board meeting is set for February 24 at 11 am.
